This Privacy Policy describes how Topical OS ("we", "us") handles information when you use our website and software. It reflects how the product is built in this codebase: hosted application data, billing integrations, optional email notifications, error monitoring, and calls to AI services when you run product workflows.
1. Who this applies to
This policy applies to visitors of our marketing site and to users who create an account or otherwise use logged-in features of Topical OS.
2. Information we process
Depending on how you use the product, we may process:
- Account and profile data : for example identifiers and subscription or credit fields associated with your user profile, stored using Supabase (authentication and application database).
- Billing data : when you purchase credits or subscriptions, payment flows are handled by Stripe; we receive billing-related records needed to operate those features (see Stripe's privacy notice for card and payment processing).
- Crawl and audit inputs : when you start a crawl or audit, the application stores crawl session metadata and page-level crawl results in our database (for example
crawl_sessionsandcrawl_pagestables in Supabase) so the product can analyze and display results. That can include URLs, titles, extracted text or HTML snippets, and related technical fields depending on the crawl configuration. - Product usage and support data : operational logs, error reports, and similar telemetry may be processed by our hosting provider and by Sentry for reliability (see Sentry's documentation for categories of data they process).
- Email : when the product sends notifications (for example via Resend), we process the recipient address and message content required for that send.
- AI processing : when you invoke AI-backed workflows, content you submit may be transmitted to third-party model providers for inference, under their terms and retention practices.
3. How we use information
We use the information above to provide, secure, and improve Topical OS; authenticate users; operate credits and billing; deliver transactional messages; debug and prevent abuse; and fulfill legal obligations.
4. Sharing and subprocessors
We use service providers that process data on our behalf, including Supabase (database and auth), Stripe (payments), Resend (email), Sentry (error monitoring), hosting (for example Vercel), and AI vendors used by the application when you run AI features. We do not sell your personal information.
5. Retention and deletion
We retain information for as long as needed to operate the service, comply with law, resolve disputes, and enforce our agreements. Deletion mechanics may depend on product features and backups; contact us (see below) for privacy requests.
6. Security
We use industry-standard hosting and access controls appropriate to a SaaS product. No method of transmission or storage is perfectly secure.
7. International transfers
Our providers may process data in the United States and other countries where they operate. Where required, appropriate safeguards (such as standard contractual clauses) may apply depending on your region and provider configuration.
8. Your rights
Depending on your location, you may have rights to access, correct, delete, or export personal data, or to object to certain processing. You may also have the right to lodge a complaint with a supervisory authority. Contact us to exercise these rights where applicable.
9. Children
Topical OS is not directed to children under 16, and we do not knowingly collect personal information from children.
